How to Organize Your Squarespace Asset Library Like a Pro

Have you noticed your asset library getting out of hand with duplicate files or unorganized folders? The asset library is a powerful tool in Squarespace, but if it’s not managed properly, it can become a mess. In this tutorial, I’ll show you how to keep your asset library neat and organized, so you can save time and avoid confusion when managing your website files.

What Is the Squarespace Asset Library?

The asset library lives in the backend of your Squarespace website and stores your images and videos for easy access. While it’s convenient, it only supports:

  • Image Files: JPEG, JPG, PNG, GIF (up to 20MB).

  • Video Files: MP4, M4V, MOV (up to 30 minutes). All videos are converted to MP4 and displayed at 1080p or 360p.

Unfortunately, documents like PDFs or Word files cannot be stored here.

Step-by-Step Guide to Organizing Your Asset Library

Step 1: Use Folders for Easy Organization

Folders are your best friend for keeping the asset library clutter-free. Here’s how to set them up:

  1. Go to your asset library and click Add Folder at the top-right corner.

  2. Name your folder based on its content. For example:

    • Books

    • Authors

    • Branding

  3. To organize further, create subfolders. For example, under “Books,” you can create folders for individual titles like My Daughter’s Daughter.

Step 2: Move Files into Folders

  1. Select the files you want to organize by clicking the checkboxes next to them.

  2. Click the Folder Icon at the bottom of the screen and select the folder where you want to move the files.

  3. Click Move Here, and your files will be neatly organized in the selected folder.

Step 3: Avoid Duplicate Files

Duplicate files can make your asset library messy and confusing. To prevent duplicates:

  1. Upload Once: When adding an image or video to your library, only upload it once.

  2. Select from Library: If you need to reuse the file on another page:

    • Add a new block (e.g., image or video).

    • Click Select from Library instead of uploading the file again.

    • Navigate to the folder where the file is stored and select it.

This ensures you’re always using the original file and keeps your asset library free from unnecessary duplicates.

Pro Tips for Asset Library Organization

  1. Treat It Like Google Drive: Think of your asset library like a folder system on your computer. Use clear names and logical structures for folders.

  2. Create a Branding Folder: Store all logos, icons, and brand-related assets in one dedicated folder for quick access.

  3. Regular Maintenance: Periodically review your asset library to delete unused files or reorganize as your site grows.
